Moorhouse Time App Privacy Policy
Effective and last updated: October 17, 2026
This policy covers the Moorhouse Time mobile app for iPhone and Android. Moorhouse Coating ("we", "us") runs the app and gives it to our employees and subcontractor workers to record their work time. It is also our notice to California workers about the personal information the app collects. The policy for this website is separate: see the website privacy policy. For help using the app, see Moorhouse Time app support.
Summary
- The app records when you clock in and out, and where you were when you did.
- If you turn on background location, the app also records your location about once a minute while you are clocked in. It stops when you clock out in the app.
- You can clock in and out with location turned off. The punch is recorded as having no location.
- We do not sell your information, share it for advertising, or use it to track you across other apps or websites. The app has no ads.
- Exact coordinates are deleted 90 days after they are recorded. The time record itself is kept as a payroll record.
Who can use the app
We create every account. You cannot sign up in the app. You sign in with the work email address and password we give you. The app is for adults who work for or with Moorhouse Coating. It is not meant for anyone under 18, and we do not knowingly collect information from children.
What we collect
Your work profile
This comes from our employment and payroll records, not from anything you type into the app:
- Name, work email address and phone number
- Whether you are an employee or a subcontractor, whether you are a supervisor, and your crew and office
- Your worker ID and the IDs that match you to our payroll and accounting systems
- Your hourly rate and labor cost rate. These are stored with your profile on the phone. The app does not display them.
Time records
- Clock-in and clock-out times, and break times where recorded
- The project, work order and phase you worked on
- Notes you add to a time entry
- Requests you make for a supervisor to review a time entry, and the supervisor's decision
- Whether you have completed the safety policies required before clocking in. The policies themselves are read and signed outside the app.
Timecard signatures
When you submit a timecard you sign on the screen to certify that the hours are accurate. We keep the image of your signature, the time you signed and the internet address (IP address) the signature came from. Supervisors sign the same way when they approve a timecard, and may type a reason when they reject one.
Location
Location is the most sensitive information the app collects, so it has its own section below.
Photos
If we have turned on photo verification, the app asks you to take a photo each time you clock in or out. The camera opens on the front-facing lens, so the photo will normally show your face. The photo is uploaded and attached to the time entry. A photo waiting to upload is kept on the phone until it is sent. The app takes a photo only when you press the button. It does not read your photo library and does not run face recognition on the photo.
Face ID, Touch ID and fingerprint
If your phone has Face ID, Touch ID or a fingerprint set up, the app asks your phone to confirm it is you before each clock-in and clock-out. Your phone does the check and tells the app only whether it passed. We never receive or store your face or fingerprint data.
Device, diagnostics and notifications
- Crash and performance reports: when the app fails, and for a sample of normal sessions, a report is sent with the error details, your phone model, operating system version, app version, and your user ID, name and email address so we can find and fix the problem. These reports do not include your location coordinates.
- Usage statistics: where enabled, basic events such as the app being opened, under a random ID that is not linked to your name.
- Notification token: if you allow notifications, an identifier that lets us send them to your phone. It is removed from our server when you sign out.
- Sign-in records: the times you sign in and the IP address used.
The app does not access your contacts, calendar, microphone, photo library or health data.
Location
When the app reads your location
| When | What happens | Sent to us? |
|---|---|---|
| You clock in or clock out | One location reading is taken | Yes, with the time entry |
| You are clocked in and have turned on background location | A reading about once a minute or every 100 meters, including when the app is closed or the phone is locked | Yes, linked to the time entry |
| You open the app with location allowed | Your current position is read to show the place name on screen. Your phone's own Apple or Google location service turns the position into that name. | No |
| You are clocked out and the app is closed | Nothing | No |
What a location record contains
- Latitude, longitude and how accurate the reading was
- The time of the reading
- For background readings: altitude, speed, direction of travel, whether you were moving, and whether the phone was offline
- Whether the clock-in was inside the job site boundary set for the project
- If no reading could be taken, the reason: permission was off, the reading timed out, or the phone could not get a position
Why we collect it
- To confirm that time was worked at the job site
- To keep accurate time records for payroll and job costing
- To resolve questions and disputes about hours worked
Your choices
- Background location is off until you turn it on. You turn it on in the app under Profile, then Location. The app explains what it will collect before your phone asks for permission.
- You can turn location off at any time in your phone's settings, for background use only or completely.
- You can still clock in and out without location. The app asks you to confirm, and the time entry is marked as recorded without location. Supervisors can see that.
- Background collection stops when you clock out in the app. Clock out before you sign out.
How we use your information
- To record hours worked and run payroll
- To assign labor cost to projects
- To verify that work was done at the job site
- To let supervisors review, approve and correct timecards for their crews
- To meet wage, hour and record-keeping laws
- To check that required safety policies are complete
- To send work reminders and notifications
- To keep accounts secure, and to find and fix problems in the app
We do not use your information for advertising, and we do not use your location or photos to work out anything about you beyond where and when you worked.
Who sees your information
Inside Moorhouse Coating
Your supervisors, and our office, payroll and administrative staff, can see your time records, timecards, photos and the location recorded with them.
Companies that process it for us
These companies handle information on our behalf so the app can work. They may use it only to provide their service to us.
| Company | What it does | What it handles |
|---|---|---|
| Supabase | Sign-in, database and photo storage | All information in this policy |
| Vercel | Hosts the server the app sends data to | All information the app sends |
| PowerSync | Keeps the app working offline and in sync | Your work profile, time entries, timecards and your background location readings from the last 7 days. The server keeps the readings until it deletes exact coordinates after 90 days. |
| Sentry | Crash and performance reports | Error details, device and app version, your user ID, name and email address |
| PostHog | Usage statistics, where enabled | App events under a random ID |
| Expo | App updates and notification delivery | App version and your notification token |
| Apple and Google | Notification delivery and place names | Your notification token; your position when the app shows a place name |
| Our payroll and accounting providers | Payroll | Hours worked and your identity |
Other disclosures
- When the law, a court order or a government agency requires it
- To establish or defend legal claims, including wage and hour claims
- To a successor if the business or its assets are sold or merged
We do not sell personal information. We do not share it for cross-context behavioral advertising.
What is stored on your phone
- A copy of your profile, time entries, timecards, projects and schedules, so the app works without a signal. This copy is removed when you sign out.
- A copy of your own location records. The position on each time entry stays on the phone until we delete exact coordinates after 90 days. If you turned on background location, the readings taken while you were clocked in stay on the phone for about 7 days, then are removed from it. We still keep them for the full 90 days. This copy is also removed when you sign out.
- Clock events and photos that have not been uploaded yet. Sync before you sign out so they are sent.
- Your sign-in session, kept in the phone's secure storage and removed when you sign out.
- App settings such as reminder preferences, recent projects and your background location choice. These stay until you delete the app.
- Files you export. The app hands them to your phone's share sheet and you choose where they go.
How long we keep it
| Information | How long |
|---|---|
| Exact coordinates: clock-in and clock-out positions and background location readings | 90 days from the reading, then deleted |
| Time entries, timecards, signatures and verification photos | For as long as we must keep payroll records and could need them for a wage claim or audit. California law requires at least three years. |
| Records of changes made to time entries (audit logs) | 7 years |
| Work profile and account | While you work with us, and afterward for as long as the time records it identifies are kept |
| Crash reports and usage statistics | For the limited period set in those services |
Security
- Data is encrypted while it travels between the app and us.
- Your sign-in session is kept in the phone's Keychain (iPhone) or Keystore (Android).
- Access to records is limited by role: workers see their own time records, supervisors see their crews', and office staff see what they need for payroll.
No system is perfectly secure. Use a passcode on your phone, and tell us straight away if it is lost or stolen so we can end its session.
Your rights and how to use them
You can ask us to:
- Tell you what personal information we hold about you
- Give you a copy of it
- Correct information that is wrong
- Delete information, or close your account
To make a request, email info@moorhousecoating.com or call (855) 666-2628. Tell us it is a privacy request about the Moorhouse Time app. We will confirm it is you before acting, and answer within 45 days. Someone you authorize in writing can make the request for you.
The app has no button to delete an account, because we create and close accounts. Ask us and we will close yours. We must keep some records even after a deletion request, including payroll and time records that the law requires employers to keep. We will tell you what we kept and why.
You can also export your own time entries from the app at any time.
Notice for California workers
The California Consumer Privacy Act gives California residents, including employees and contractors, the rights listed above: to know, to get a copy, to correct and to delete. You also have the right not to be retaliated against for using them. We do not sell or share personal information, so there is nothing to opt out of.
The categories of personal information the app collects are:
| Category | What it is in this app |
|---|---|
| Identifiers | Name, email address, phone number, worker and account IDs, IP address, notification token |
| Professional or employment information | Time records, timecards, projects worked, crew, supervisor status, pay rate, safety policy status |
| Geolocation data | The location records described above |
| Visual information | Verification photos and signature images |
| Internet or device activity | Crash reports, usage statistics, sign-in records |
| Sensitive personal information | Precise location, and your account sign-in details |
We collect each category for the purposes under "How we use your information", disclose it to the companies under "Who sees your information", and keep it for the periods under "How long we keep it". We use precise location only to verify and record work time, not to infer characteristics about you.
Changes to this policy
When we change this policy we will post the new version here and change the date at the top. If a change affects what the app collects or how we use it, we will tell workers before it takes effect.
